Equipment Management Protocols

  • Transferring equipment to a different lab or department

    • Request must come from PI
    • Must include property ID number and name of PI/department to transfer to

  • Loaning equipment to non-UCR affiliated collaborators
      • Send email request to sacrey@ucr.edu
      • Request must come from PI
      • Must include property ID number
      • Inventorial Off-Campus loan form must be completed
        • Form must be completed on an annual basis as long as the equipment remains on loan.
        • Form must be signed by borrower and department Chair

  • Equipment Disposal
      • DO NOT THROW AWAY
      • Equipment that is disposed of improperly (without proper records) has to be coded as "missing" and a police report MUST be filed.
      • Submit a work order request to initiate disposal
        • Request must specify that you are disposing of inventorial equipment and must reference the UCR property ID number(s)

  • Equipment trade-ins
      • Departments have the option of trading in old equipment for newer equipment on Purchase Orders. When doing a trade in the associated Purchase Order will need to have a line item on it detailing the manufacture, model, serial, and UC equipment property number of the properties that are being traded in.
      • Before this can happen, the equipment's fair market value must be assessed, and the trade-in needs prior review and approval from Campus Surplus personnel.

  • Cannibalizing equipment for parts
      • Equipment to which the University does not hold title can never be destroyed or cannibalized without prior written approval of the Government Property Administrator. Custodial departments are not authorized to directly dispose of non-functional equipment; this equipment is required to be transferred to the Excess Property Operation (Surplus) for sale or disposal.
        • Send an email to sacrey@ucr.edu to initiate approval request if you need an exception to policy.
